Equipment Needed:

  • Any of the following Nortel phone models: M7310, T7316, or M7324.

Procedure:

  1. Access System Administration:
    • Lift the handset of your Nortel phone.
    • Press the Feature button followed by 983.
    • When prompted with the “LOG” display, enter your login password:
      • If your company extensions are 2 digits long, enter 120000.
      • If your company extensions are 3 digits long, enter 1020000.
      • If your company extensions are 4 digits long, enter 10020000.
  2. Navigate to Auto Attendant:
    • After logging in, press the softkey labeled AA (Auto Attendant).
    • Press the softkey labeled GRTG (Greeting).
  3. Select Greeting:
    • I know you want to create or edit your greeting, so choose which message to update by pressing:
      • 1 for Message 1
      • 2 for Message 2
      • 3 for Message 3
      • 4 for Message 4
  4. Record the New Greeting:
    • Use the handset to record your new greeting message.
    • After recording, press OK.
    • You can play back the recorded message or re-record if necessary by pressing OK again.

Additional Programming

To Create a New Mailbox:

  1. Log Into System Administration:
    • Press Feature 983.
    • Enter the system password based on your extension length as described above.
    • Press OK.
  2. Add New Mailbox:
    • Select the softkey under MBOX.
    • Select ADD.
    • Enter the new mailbox number (extension you want to add).
    • For Mailbox Type, choose Subscriber and press OK.
    • Typically, the extension is the same as the mailbox number.
    • Set Service Class to 1.
    • Enter the name using the dial pad (last name first, ## for comma, then first name, # to move to the next character).
    • Enable Directory and Message Waiting by selecting Y (Yes).
    • Set Outdial Pool to 1 and press OK.
    • Press 1 to accept and OK to save.

To Delete a Mailbox:

  1. Log Into System Administration:
    • Repeat the login steps as outlined above.
  2. Delete Mailbox:
    • Select MBOX.
    • Select DEL.
    • Enter the mailbox number to delete.
    • Confirm by selecting Delete.

To Reset a Mailbox Password:

  1. Log Into System Administration:
    • Follow the same login procedure.
  2. Reset Password:
    • Select MBOX.
    • Select Chng.
    • Enter the mailbox number to reset.
    • Select RESET.
    • The new password will be set to 0000 (users will be prompted to change it upon next login).

To Change the Name on a Mailbox:

  1. Log Into System Administration:
    • As per the login steps.
  2. Change Name:
    • Select MBOX.
    • Select Chng.
    • Enter the mailbox number.
    • Keep pressing Next until the name appears.
    • Change the name using the dial pad and save by pressing Next.

To Change the Recorded Name for the Company Directory:

  1. Voicemail User Login:
    • Log into the voicemail box.
    • After entering the password, press Admin (or 8), then press 1.
    • Record the new name when prompted.
    • Press OK to save the recording.

How do I know which Greeting

An Auto Attendant typically picks up as soon as the caller dials your office Nortel Phone Number on the system.  However, many offices have a mailbox greeting being used if they do not answer the call.

How to Change Nortel Auto Attendant Greeting

 

1. Record Introduction Greeting 

Important Note: This is only (or can be) the Initial introduction part of the main greeting which is then followed by any other greetings. 

The instructions below allow you to you change the company greeting

Instructions below allow you to have different greetings for day, night, weekends, vacations,etc.

 

To enter administration programming:

Feature 983 then enter the log code (System Manager mailbox # followed by its password) & OK

The System Manager mailbox can be 12, 102 or 1002 depending on how many digits your ext # is.

The default password for System Manager is 0000, it may have been changed to 1234, 1111, or other.

Example: if you are X221 then you are a 3-digit system, so use: 1020000 (where 0000 is the password)

LOG CODE DEFAULTS: 

2 Digit system = 120000

3 Digit system = 1020000

4 Digit system = 10020000

Change the greeting in AA

  1. Press Feature 983 
  2. Enter LOG Code: _____, press OK 
  3. Press AA 
  4. Press Grtg, press Grtg again 
  5. Enter the Greeting Number 1
  6. Press OK 
  7. Press Rec… record a greeting, and press OK when done 
  8. Press OK to accept the recording: press Rls when done

 

Change the greeting to play through parts of the day

  1. Press Feature 983 
  2. Enter LOG Code: _____, press OK 
  3. Press AA 
  4. Press Table, press 1,  press OK 
  5. Press Change to 1 (Greeting 1)
  6. Do this for Morning, Afternoon, Evening and Non-Business(if using)

Press Rls when done (or pick up and hang up the handset)
